How to use Invoice Generator
- 1Choose Invoice or Quote and the language the document should be written in (English or Korean). The number, dates and title fill themselves in; change any of them.
- 2Enter your own details under From and, if you like, add a logo. PNG and JPG work best; other image types are converted.
- 3Enter the client under Bill to, then add one line per product or service with a quantity and unit price.
- 4Pick the currency and number style, then set tax (none, one rate for everything, or a rate per item) and an optional discount.
- 5Add payment terms such as bank details and a due date, check the preview on the right (below the form on a phone), and click Download PDF.
What ends up on the page
The layout is deliberately plain, the kind of invoice an accounts department can read in five seconds:
- Top right: the title (INVOICE or QUOTE, or your own wording such as Pro forma invoice), the document number, the issue date and the due date. On a quote the second date is labelled Valid until.
- Top left: your logo, shrunk to fit a 170 by 64 point box without stretching it.
- Two address blocks: From and Bill to (Prepared for on a quote), each with name, tax ID, address lines, email and phone. Empty fields are simply left out, so you never get a stray "Phone:" with nothing after it.
- The items table: description, quantity, unit price, a tax column when rates differ per item, and the line amount. Long descriptions wrap inside their cell, and if the table runs past the bottom of the page it continues on a new page with the column headings repeated.
- Totals: subtotal, discount, one line per tax rate, and the total in bold.
- Payment terms and notes at the bottom, with your line breaks kept.
When a document runs to more than one page, every page gets a "Page 1 of 2" footer.
How the totals are calculated, with a worked example
Every amount is calculated in the currency's smallest unit (cents, pence, yen or won), so the numbers on the PDF always add up exactly. The order is:
- Each line amount is quantity × unit price, rounded to the currency's decimals. Quantities can have decimals, so 7.5 hours at 80.00 is 600.00.
- The subtotal is the sum of the line amounts.
- The discount is taken off the subtotal, either as a percentage or as a fixed amount (a fixed discount can never be larger than the subtotal).
- Tax is charged on what is left after the discount. With rates per item, the discount is shared across lines in proportion to their amounts, and each rate is rounded once, not line by line.
- The total is subtotal − discount + tax.
Example: 10 hours of design at 85.50 (855.00) plus 12 months of hosting at 9.99 (119.88) gives a subtotal of 974.88. A 10% discount is 97.49, which leaves 877.39. Sales tax of 8.25% on that is 72.38, so the total due is 949.77. That is exactly what this page shows and what ends up in the PDF.
If your prices already include tax, set tax to No tax and write "Prices include VAT" in the notes, or work out the net price first: a gross price of 120.00 with 20% VAT is a net price of 100.00.
Currencies, decimals and number styles
The currency list covers USD, EUR, GBP, KRW, JPY, CNY, INR, CAD, AUD, NZD, SGD, HKD, TWD, CHF, SEK, VND, PHP, MXN and BRL. The number of decimals comes from the browser's own currency data, so yen and won are shown without decimals (¥272,800, ₩1,815,000) and dollars, euros and pounds with two.
Number style controls separators, independently of the currency:
- 1,234.56 for the US, UK, Korea, Japan and most of Asia.
- 1.234,56 for Germany, Spain, Italy, the Netherlands and much of Latin America; the currency sign moves behind the number (1.234,56 €).
- 1 234,56 for France and Scandinavia.
- 1,23,456.78 for India (lakh and crore grouping).
Type numbers in the same style you picked: with 1.234,56 selected, 1.500 means one thousand five hundred. A field that cannot be read turns red and the Download button waits until it is fixed.
Some currency signs are not in every PDF font. When a sign cannot be drawn, the invoice uses the ISO code instead, for example INR 12,17,939.81 rather than a blank box. The euro, pound, dollar and yen signs always print; the won sign prints whenever the document already embeds the Korean font.
Real text, Korean text and file size
The PDF is built from text, not from a screenshot of the page, so the client can search it, copy the bank details out of it and read it with a screen reader. An English-only invoice uses the standard Helvetica font and is usually well under 100 KB even with a logo.
As soon as anything on the document needs characters outside Western European Latin, such as Korean names, Japanese kana or the won sign, the page embeds the Noto Sans KR font, keeping only the characters you actually used. The font file is served from this site and is downloaded once by your browser. Characters that font does not contain (emoji, Thai, Hindi script) are printed as ? and a warning tells you how many were replaced, so check names written in those scripts before you send the file.
Drafts, Start new and privacy
Every change is saved in your browser's local storage on this device. Close the tab, come back tomorrow, and the form is filled in again with a note saying the draft was restored. Nothing is uploaded: the invoice, the logo and the PDF are all made on your device, and there is no account to log in to. Clearing your browsing data deletes the draft, and a draft saved on your laptop does not appear on your phone.
Start new offers two choices. Keep my details clears the client, items and notes, keeps your business details, logo, currency, tax settings and payment terms, and moves the number on by one (INV-2026-042 becomes INV-2026-043). Clear everything resets the whole form. Logos are shrunk to at most 600 × 240 pixels before saving; if one is still too big for the browser's storage, the rest of the draft is saved without it and the page tells you so.
If something looks wrong
- The total is 0 or a line amount is missing. A quantity or price field is empty or red. Lines with neither a description nor a price are left out of the PDF on purpose, so a blank last row does no harm.
- Amounts are 1,000 times too big or too small. The number style does not match how you typed the number. 1.500 is one and a half in the 1,234.56 style but one thousand five hundred in the 1.234,56 style.
- The logo looks tiny. It is fitted into a 170 × 64 point box (about 6 × 2.3 cm) without stretching. A logo file with wide empty margins around it looks small, so crop the margins first.
- The download button spins for a few seconds the first time. That is the Korean font loading and being prepared. Later downloads are quicker.
- Your old draft appeared when you wanted a blank form. Use Start new, then Clear everything.
When another tool is a better fit
This generator makes one document at a time from a form. It does not keep a list of past invoices, send reminders, track payments or file tax returns, so if you send dozens of invoices a month, accounting software will save you time. In countries with mandatory e-invoicing (Korea's electronic tax invoice, Italy's SDI, or Peppol in public procurement), a PDF made here can go along as a copy for the client, but it does not replace the official electronic invoice.
Once you have the PDF, you can sign it, merge it with a timesheet or contract, or add a password before emailing it. If a client sent you their own invoice template as a fillable PDF, Fill PDF is the quicker route.
Frequently asked questions
Is this invoice generator really free?
Yes. There is no sign-up, no watermark on the PDF and no limit on how many invoices you make. Everything runs in your browser.
Are my client and bank details sent to a server?
No. The form, the logo and the finished PDF stay on your device. The draft is kept in this browser's local storage so you can come back to it, and you can clear it at any time with Start new.
Can I make a quote or estimate instead of an invoice?
Yes. Switch Type to Quote. The title becomes QUOTE, the client block is labelled Prepared for, and the second date becomes Valid until. You can also type your own title, such as Estimate or Pro forma invoice.
Can I use different tax rates on different lines?
Yes. Choose Rate per item under Tax and discount, and a tax column appears for each line. The totals show one row per rate, for example VAT 5% and VAT 20%.
Why does my invoice show INR instead of the rupee sign?
The fonts used in the PDF do not include the ₹ sign, so the ISO code is printed instead of an empty box. The same applies to a few other signs. The amounts themselves are not affected.
Can the client copy text from the PDF?
Yes. All text in the PDF is real text, including Korean, so bank details, invoice numbers and amounts can be selected, copied and searched.
Does it number my invoices automatically?
The first number is built from today's date, such as INV-20261021-01. After that, Start new with Keep my details adds one to whatever number you used last, keeping leading zeros. There is no central counter, so check the number before sending if you work on more than one device.
